SOP 04: Creating a Personal View on the Sample Tracker

To create a personal filtered view within the Sample Tracker so that each chef can easily view and manage their own projects without searching through the full tracker.

  When to Use

Use this process when:

  • You want to see only projects assigned to you.
  • You regularly access the Sample Tracker.
  • You want a personalised workload view.

Before You Start

You must have:

  • Access to HubSpot.
  • Access to the Sample Tracker.
  • Projects assigned to your name in the Chef Lead field.

Steps

Step 1: Open the Sample Tracker

  1. Navigate to the Gates section.
  2. Open Sample Tracker – Culinary.
  3. Confirm you can see the full list of projects.

Step 2: Create a New View

  1. Click the view options at the top of the tracker.
  2. Select Create View or duplicate an existing view.
  3. Name the view clearly.

Example:

  • Sample Tracker – Emma
  • Sample Tracker – Nicola
  • Sample Tracker – Jason

Step 3: Add a Chef Lead Filter

  1. Click Filters.
  2. Select the property:

Chef Lead

  1. Set the filter to:

is any of

  1. Select your name.

Example:

Chef Lead = Emma


Step 4: Apply the Filter

  1. Confirm only your projects appear.
  2. Review the results.
  3. Remove any unnecessary filters.

Step 5: Save the View

⚠️ Important

The video highlights that you must:

✅ Click the tick/save icon

If you do not click the tick:

❌ The view name will not save.


Step 6: Verify the View

Check that:

  • The view appears in the list of available views.
  • The view displays only your projects.
  • The view remains available after refreshing the page.

Common Mistakes

❌ Forgetting to click the save tick.

❌ Selecting the wrong Chef Lead.

❌ Applying multiple filters accidentally.

❌ Renaming the view without saving.


Success Criteria

The process is complete when:

✓ A personal view has been created.

✓ The view is named correctly.

✓ Only projects assigned to the selected Chef Lead are displayed.

✓ The view remains available after refresh.
