SOP 16: Creating Your Own View and Adding Filters

To create a personalised view using filters so you can focus on the projects, customers, or tasks most relevant to your role.

When to Use

Use this process when:

  • You need a personalised workload view.
  • You want to focus on specific projects.
  • You need to track work assigned to you.
  • You want to monitor specific customers, statuses, or dates.

Before You Start

You must have:

  • Access to HubSpot.
  • Access to the relevant tracker.
  • An understanding of the information you wish to filter.

Process Steps

Step 1: Open the Tracker

  1. Navigate to the relevant tracker.
  2. Review the available views.

Step 2: Create a New View

  1. Click Add View.
  2. Select Create New View.
  3. Enter a name for the view.

Examples:

  • Emma's Projects
  • This Week's Dispatches
  • Dunbia Projects
  • Outstanding Costings

Step 3: Open Filters

  1. Select Add Filter.
  2. Open the property search.

Step 4: Select Filter Criteria

Choose the field you want to filter by.

Examples:

Chef Lead

Filter:
Chef Lead = Emma


Customer

Filter:
Customer = Dunbia


Dispatch Date

Filter:
Dispatch Date = This Week


Status

Filter:
Status = Outstanding


Gate Stage

Filter:
Gate = 99s


Step 5: Apply Multiple Filters (Optional)

You may combine filters to narrow results.

Example:

Chef Lead = Emma

AND

Dispatch Date = This Week

AND

Status = Outstanding


Step 6: Review Results

Verify that the records displayed match your filter selections.


Step 7: Save the View

  1. Save the filtered view.
  2. Pin it if you use it regularly.

Best Practice

Create views that support specific activities.

Examples:

✓ My Projects

✓ This Week's Dispatches

✓ Outstanding Costings

✓ Customer-Specific Projects

Avoid creating too many similar views.


Common Mistakes

❌ Selecting the wrong filter property.

❌ Applying conflicting filters.

❌ Creating duplicate views.

❌ Forgetting to save the view.

❌ Not reviewing results after filtering.
